The Situation

A composite, typical of a mid-sized developer running steady Instagram and Facebook ad spend across a handful of active projects. Leads reply into individual sales agents' personal WhatsApp numbers. There's no shared record of who's talking to whom, no way to see which project or district is generating real interest, and no process for what happens to a client relationship when an agent moves on. The business owns the ad spend. The agents, individually, own everything that happens after the click.

The Architecture

Built on Salesforce Sales Cloud, structured around a Lead object capturing campaign, project, and district at the point of intake, whether the lead arrives through a web form or is logged from an inbound WhatsApp conversation. Assignment Rules route each lead to an agent by territory and current load, so nothing sits unclaimed and no two agents work the same prospect without knowing it.

Qualified leads convert into a clean Account and Contact tied to a specific Opportunity per unit of interest, so a single client interested in two different properties doesn't get flattened into one ambiguous record. Every Opportunity carries a follow-up reminder rule: if a deal goes untouched past a set number of days, it surfaces on the agent's dashboard and, past a second threshold, on the MD's. Client records are owned by the business, not the agent's device, so an agent's departure transfers their open pipeline to the team instead of deleting it.

What This Would Change

Framed as expected outcomes of the architecture, not measured results of a real engagement: no lead sits in a single agent's phone unseen by the business. A departing agent's pipeline hands off cleanly instead of disappearing. And leadership gets a real answer, updated automatically, to which campaign and which district is actually converting, instead of a guess reconstructed at the end of the quarter.

The ad spend already works. The system just has to stop losing what it paid for.
